1. GENERAL

a) The entrants for any Portfolio or Competition must be paid up members of the Ellesmere Port Photographic Society.

b) For all entries in any Portfolio, Competition or Annual Competition, the original exposure(s) must be the work of the author (the author must have taken the image/s). The author must have the full copyright of all elements of the image. Images constructed from so called royalty
free and copyright free images to which nobody owns the copyright are not acceptable.

c) Trade processing of films (negative and slide films) is allowed.

d) Trade printing of prints is allowed, however, print mounting must be the work of the author. All print entries must be mounted on a 50 cm by 40 cm mount board (does not apply to portfolios). At the same time
as entering a print into a print competition, you must include a Digital Image PDI (see section 1. f) below for further information on the PDI) of the print image. You must write the title of the print on the back of the mount.
Depending on which portfolio /competition you are entering you must also write your name or Member’s Competition Number on the back of the mount..

e) Digital images are welcome in portfolios and competitions, provided the author carried out all manipulation, and the author took the original exposure/s.

f) Projected digital images (PDIs) must be within 1600 Pixels (Horizontal) x 1200 Pixels (Vertical) range. saved as jpeg in sRGB colour space (Monochrome also).

(g) In any Competition or Annual Competition, the same image (or a significantly similar image) can only be entered into one section.

(h) For all images, no identification of the author is allowed in the title or embedded or visible in the image.

(i) For all competitions that have a novice section, if only one novice author makes an entry, then that entry will be included in the Open section.

2. DEFINITION OF CATEGORIES

2.1 Monochrome

Within any monochrome Competition, a picture must be wholly a monochromatic image. It may be toned in a single tone colour over the entire image, e.g. sepia. Images which have one or more added colours/dyes must be entered in a Colour section. A monochrome image which meets the above definition is not allowed in a Colour Competition. Nature style monochrome images are allowed, whether or not they fully comply with the definition for Nature in Section 2.2. They will be judged as open monochrome pictorial images and not necessarily as Nature images.

2.2 Nature

This definition has been taken from the FlAP definition 2014 for Nature and has been adopted by the PAGB and the L&CPU. Please see notes at the end of the definition.

Nature photography is restricted to the use of the photographic process to depict all branches of natural history, except anthropology and archaeology, in such a fashion that a well-informed person will be able to identify the subject material and certify its honest presentation.

The story telling value of a photograph must be weighed more than the pictorial quality while maintaining high technical quality. Human elements shall not be present, except where those human elements are integral parts of the nature story such as nature subjects, like barn owls or storks, adapted to an environment modified by humans, or where those human elements are in situations depicting natural forces, like hurricanes or tidal waves.

Scientific bands, scientific tags or radio collars on wild animals are permissible. Photographs of human created hybrid plants, cultivated plants, feral animals, domestic animals, or mounted specimens are ineligible, as is any form of manipulation that alters the truth of the photographic statement.

No techniques that add, relocate, replace, or remove pictorial elements except by cropping are permitted. Techniques that enhance the presentation of the photograph without changing the nature story or the pictorial content, or without altering the content of the original scene, are permitted including HDR, focus stacking and dodging/burning.

Techniques that remove elements added by the camera, such as dust spots, digital noise, and film scratches, are allowed. Stitched images are not permitted. All allowed adjustments must appear natural.

Colour images can be converted to greyscale monochrome. Infrared images, either direct captures or derivations, are not allowed.

Images used in Nature Photography Competitions may be divided in two classes: Nature and Wildlife. Images entered in Nature sections meeting the Nature Photography Definition above can have landscapes, geologic formations, weather phenomena, and extant organisms as the primary subject matter. This includes images taken with the subjects in controlled conditions, such as zoos, game farms, botanical gardens, aquariums and any enclosure where the subjects are totally dependent on man for food.

Images entered in Wildlife sections meeting the Nature Photography Definition above are further defined as one or more extant zoological or botanical organisms free and unrestrained in a natural or adopted habitat. Landscapes, geologic formations, photographs of zoo or game farm animals, or of any extant zoological or botanical species taken under controlled conditions are not eligible in Wildlife sections.

Wildlife is not limited to animals, birds and insects. Marine subjects and botanical subjects (including fungi and algae) taken in the wild are suitable wildlife subjects, as are carcasses of extant species.

Wildlife images may be entered in Nature sections of Exhibitions.

NOTE Zoo animals are allowed, but try to minimise any man made items in the image. It is best to avoid cute and humorous titles. Cultivated plants are not allowed. Domestic animals are not allowed. This includes farm animals, eg cows, horses, pigs etc which are not allowed.

2.3 Colour

Colour includes all other images not classified as Monochrome. A monochromatic image is not allowed in Colour Competitions. Nature style colour images are allowed, whether or not they fully comply with the definition for Nature in Section 2.2. They will be judged as open colour pictorial images and not necessarily as Nature images.

3. DESIGNATION OF NOVICE WORKER AND ADVANCED WORKER

a) Novice workers are normally relatively inexperienced newcomers to photography.
They will not have sufficient experience in Club Competitions and will not have gained the required number of points for promotion to Advanced worker (see section 3c)

b) Some new members may be experienced by virtue of membership of a previous Club or by academic training. In this case designation of the member as Novice or Advanced shall be decided by the Committee based on the knowledge of the member’s work/experience or previous record with other clubs etc. (This decision to be taken as soon as possible during the first season that any such person is a member of the society).

c) If a member is designated as a Novice then promotion to Advanced shall be by gaining a total of 20 (twenty) points in any Print or Projected Digital Image Competition which are marked as follows:-

Score of 20 4 points
Score of 19 3 points
Score of 18 2 points
Score of 17 1 point
Any award made to a Novice in an Open Competition + 2 points

The 20 points are cumulated from the date the Novice member becomes a member.

d) Promotion from Novice worker to Advanced worker will take effect from the date of the AGM for the season in which the worker attained the required number of points (20 or more)

e) A register of the points awarded will be kept by the Competition Secretary. The register for each Novice member will be maintained and updated every season until the Novice is promoted to Advanced.

4. PORTFOLIOS

Three separate portfolios for Monochrome Prints, Colour Prints, and Projected Digital Images are normally organised. The general rules for Prints and Projected Digital Images as outlined in Section 1 (General) apply to entries to Portfolios.

Each Portfolio consists of four “boxes” (may be changed by the Committee). Participants submit one entry per box. Prints may be any size up to A4 (210 mm x 297 mm), and must be mounted on A4 card. Write the year, your name and the print title on the back of the mount. An entry will not be accepted if it has previously been entered in any Ellesmere Port Photographic Society Portfolio, Competition or Annual Competition.

At the beginning of each season the closing dates for entries to each Box will be announced.

All members who have submitted a print or Digital Image to that Box, will comment on each image (not on his / her own image). In this way, members will be able to learn from the comments, and so improve their images.

5. AUTUMN AND SPRING COMPETITIONS

The general rules for Prints and Digital images as outlined in Section 1 (General) and Section 2 (Definition of Categories) apply to entries to Competitions.
Three competitions are held;

-- Open Monochrome Prints, Novice Monochrome Prints, Open Monochrome PDIs and Novice Monochrome PDIs.
-- Open Colour Prints, Novice Colour Prints, Open Colour PDIs and Novice Colour PDIs
-- Open Nature Prints, Novice Nature Prints, Open Nature PDIs and Novice Nature PDIs

The maximum number of entries per member in each section is normally four, but these maximum numbers may be changed by the Committee. The Committee may add or delete sections if considered advantageous. The dates of the competitions and the hand in dates for entries are announced at the beginning of the season and are printed in the syllabus booklet. Competition sections shall be Novice or Open as decided by the Committee (NB Novice sections can only be entered by Novice Workers. Open sections can be entered by all members).

Specific rules may be applied to individual competitions / sections. These rules will be made known to all entrants before the hand in dates. In any section there must be a minimum of two entrants for any points to be awarded.

Prints may be of any size but must be on a mount board of 50cm by 40cm. The sizes may be altered at the discretion of the Committee. There must be no tape of any description on the back of the mounts.
Maximum mount thickness must not exceed 4mm. Backing boards (if used) must be the same size as the front mount.

Guidance Notes: The simplest way to mount a print is to stick it to a 50 x 40 cm mount board. However, some members like to use a front window mount. In this case a backing board must be used to give protection to the back of the print.
When mounted prints are stacked together and transported it is important that prints are not damaged by the mount above. This is the reason that no tape of any description is allowed on the back of the mounts. It is also the reason why backing boards should be the same size as the front mount.

The Committee reserve the right to withhold from competition any entry which does not conform to the competition rules. An entry will not be accepted if it has previously been entered in to any Shell / Whitby
Club / Ellesmere Port Photographic Society Competition or Annual Competition. (An entry from a previous/current Portfolio is permitted).

The entries for the Competitions are normally judged by an external judge. The judge marks each entry with a score from 12 to 20 points. On the competition evening, all print entries are displayed and all digital entries are projected, the judge makes comments.


6. ANNUAL COMPETITION (& ANNUAL EXHIBITION)

For the 2016 / 17 season it has been decided NOT to hold the Annual Exhibition. However, the Annual Competition (End of Season Competition) will still be held. The information on the Annual Exhibition below, has been retained in case in the future it is decided to reinstate the Annual Exhibition.

The general rules for Prints and Digital images as outlined in Section 1 (General), Section 2 (Definition of Categories), and Section 5 (Autumn and Spring Competitions) also apply to Annual Competition entries.

The Annual Competition is held near the end of the season. It consists of separate Sections for prints and digital images (e.g. Open Subjects, People, Nature, Set Subjects).

Chosen “Set Subject” titles will be notified by the Chairman to the members at the previous season’s Annual General Meeting (also see the Syllabus Booklet and the Society’s website).

In any section of the Annual Competition there must be a minimum of two entrants for any points to be awarded. However, section trophies may be awarded if there is only one entrant.

An entry will not be accepted if it has previously been entered into an Ellesmere Port Photographic Society Annual Competition (An entry from a previous/current Competition or Portfolio is permitted).

Annual Competition entries are normally judged by an external judge or judges. They select a Winner for each section and award marks from 12 to 20.

At the Annual Exhibition, following the judging, all print entries are displayed in the ballroom of the Whitby Club, the slide entries and digital entries are projected and the trophies are presented.


The Trophies for the Annual Competition are as follows:-


6.1 NOVICE SECTION
a) Novice Mono Print Trophy
Any subject. Up to four prints per novice worker.

b) Novice Colour Print Trophy
Any subject. Up to four prints per novice worker.

c) Novice Nature Print Trophy
Up to four prints per novice worker.

d) Novice Mono PDI Trophy
Any subject. Up to four prints per novice worker.

e) Novice Colour PDI Trophy
Any subject. Up to four prints per novice worker.

f) Novice Nature PDI Trophy
Up to four prints per novice worker.


6.2 OPEN SECTION PRINTS
a) Open Mono Print Trophy
Any subject. Up to four prints per worker.

b) Set Subject Mono Print Trophy
Up to three prints per worker.

c) Set Subject Colour Print Trophy
Up to three prints per worker.

d) Open Colour Print Trophy
Any subject. Up to four prints per worker.

e) People Trophy (Fred Riley Trophy)
Up to four prints per worker.

This is an Open Competition for Monochrome and/or Colour Prints of people.
“People” is defined as follows; Formal or informal, single or group, human portraits or figure studies taken indoors or outdoors. Animal studies are not eligible. This is wider than just studio portraits, and may show people in all walks of life, doing a variety of things.

f) Open Nature Print Trophy (John Vaughan Trophy)
Up to four prints per worker.

This is an Open competition for Monochrome and/or Colour Prints.

6.3 PROJECTED DIGITAL IMAGES

a) Open Colour Digital Trophy
Any subject. Up to four images per member.

b) Open Mono Digital Trophy
Any subject. Up to four images per member.

c) Nature Digital Trophy
Up to four images per member
This is an Open Competition for Monochrome and/or Colour Nature PDIs)

d) Set Subject Digital Trophy
Up to three images per member.


PDI entries to be submitted on CD/DVD/ memory device.


NB The maximum number of entries per member in each section may be changed by the Committee.


7. PHOTOGRAPHER OF THE YEAR (John Matthews Trophy)

This award is made to the member who gains the highest number of points in the current season. These are the points accrued from all those Competitions and sections of the Annual Competition that the member entered (see Section 3c for the number of points awarded).
The Competition Secretary will keep a register of the points towards Photographer of the Year. At the start of the season in September, each member starts with zero points.
The John Matthews Trophy is presented to the Photographer of the Year at the Annual Exhibition.

8. INTER-CLUB COMPETITIONS - ANNUAL COMPETITION - THE MARSDEN CUP

This Competition is between Ellesmere Port Photographic Society and other Photographic Societies/Clubs who are invited to enter. Each Society/Club enters a set of six Projected Digital Images (monochrome and/or colour) which will be judged as a set. The set should be given a “theme title” at the discretion of the Society/Club. Maximum of two images from the same author.

Each image will be judged with a maximum of 10 points. In addition a further maximum of 10 points will be given for the “theme”, giving a maximum of 70 points for the set. The set with the highest number of points will win the Marsden Cup.
The following information should be made known for each image:

Name of Society/Club
Author's name - please indicate distinctions (e.g.LRPS, CPAGB)
Images may be titled or untitled.
Image number (from 1 to 6).

Images will be projected in the numbered order from 1 to 6.

Images entered as part of a panel in any previous Ellesmere Port Photographic Society Annual Exhibition will not be accepted.

The winning Society/Club must return the trophy to the Ellesmere Port Photographic Society before 28th February in the year following the award.

No entry fee is required. Submission of a set of images signifies acceptance of the above rules and conditions.

9. SELECTION OF MEMBERS WORK FOR INTER-CLUB COMPETITIONS

The Ellesmere Port Photographic Society Committee reserve the right to retain, for a period of eighteen (18) months, any prints or digital images which members submit to the Annual Competition. These retained prints/digital images are only to be used as entries to the L&CPU Annual Competition and any Inter-Club Competition or Exhibition that the Ellesmere Port Photographic Society may choose to enter.

L&CPU Annual Competitions:
Since 2013 the L&CPU have held two separate annual competitions. A Club competition and an Individual competition. These are held from February to May.

- L&CPU Club Competition: The Committee select various entries (prints and PDIs) from our members to send to the L&CPU Annual Club Competition. 

- L&CPU Individual Competition: Each member has the right to select which of his / her entries are submitted. Please note that all entries must be submitted via the club. Each member should discuss with the Competition Secretary any specific requests. Please note that for print entries to the L&CPU Annual Competitions, the mount size must be 50cm by 40cm.

While every care will be taken of all prints entered in any Ellesmere Port Photographic Society Competition or Exhibition, or in any Inter-Club Competition or Exhibition, regretfully no responsibility can be accepted by the Committee for any loss or damage.
